This position is responsible for supporting the Client Services department with various analytical projects and process management.

Essential Duties

  • Setup and manage scheduled meeting events and conference calls
  • Facilitating internal processes, both within the team and cross-functionally, including bonus requests
  • Creating Team Sheets for new accounts or accounts with transition, in coordination with Marketing
  • Handle or assist with project requests from both the Client Services team and Executive team


  • Maintain fleet information tracking databases and spreadsheets
  • Client Relations Spread Sheet
  • Tracking and monitoring industry survey information and distributing information appropriately
  • Bonus requests spreadsheet
  • Bonus and salary history (needs to be automated) – Working with Valerie Deitrick and Mark Dennen to have it on the Client Portal
  • Workload Reports – Avianis/Mandar/Mark Dennen/ Brian Moss
  • Perform account-related research and generate reports – Reviewing account-related reports with the CSDs and Executive Assistants to ensure they are still necessary reports
  • Recurring and on-demand reporting needs, including crew workload reports and various aircraft utilization reporting
  • Workload reports
  • Recurring monthly/quarterly statistics reports


  • Support the Executive Management team in developing proposals, researching hangar costs and availability
  • Gather hangar and fuel quotes as requested (usually CROs and CSDs)
  • Must be able to create and maintain relationships with FBOs and hangar owners
  • Bargain fuel cost – tenant vs. contract
  • Request and obtain draft hangar leases and agreement, request changes as necessary


Systems administration and oversight, including Salesforce, and SharePoint:

  • Salesforce- Maintaining account information to include:
    • Addition of new employees/crew members and removal of terminated employees/crew
    • Update for internal transitions (CSD, CRO, FC, CAS)
    • Logging appropriate account communication to include communication with CRO, client, and CSD for historic reference
    • Log all account-related tasks
    • Ensure service agreements, dry lease agreements, and hangar contracts are stored properly in each account
    • Add current versions of recurring reports in each account as well as team sheets if applicable
  • SharePoint – organization of both the CS SharePoint and the CS site on the Airway. Keeping files organized and easy to access
    • Ensuring accurate information is referenced in Solairus 101/Airway and in CS SharePoint
    • Update team notes on the homepage and review for old info to be removed
    • Export the new Salesforce version of Master Fleet List and save it in a centralized location in Admin SharePoint
  • Microsoft teams – keep files and spreadsheets organized


Minimum Qualifications

  • Highly detail oriented; ability to meet deadlines and possess effective problem-solving skills
  • Must be flexible and can adapt to changes in a growing company
  • Excellent communication and interpersonal skills
  • Ability to operate independently with minimal supervision
  • Aviation experience is preferred but not required
  • Experience in Salesforce, Taleo, and/or SharePoint is preferred, but not required
  • Must have a strong work ethic, be reliable, and have a professional and positive attitude

Salary will be paid on an hourly basis. Range of $50,000-$65,000 with overtime eligibility.
